Your Bank Balance Can Be Right While Your Books Are Wrong

Many business owners open their banking app, see money in the account, and assume their bookkeeping must be accurate. Unfortunately, a correct bank balance does not guarantee correct books. It only shows how much cash is in the account at that moment, not whether the activity behind that balance was recorded properly.

A transaction can clear the bank and still be wrong in the books. A purchase may enter through both the bank feed and a manual entry, causing the expense to be counted twice. A credit card payment may be categorized as an expense even though the individual purchases were already recorded. An owner’s deposit may be classified as income, making revenue appear higher than it really is. Each mistake can quietly distort financial reports while the bank balance continues to look reasonable.

That is why reconciliation is more than matching an ending balance. It is the process of confirming that the transactions in the accounting records agree with the activity on the bank or credit card statement and investigating anything that does not make sense.

Business owners should also review their reports for clues. Are there old invoices or bills that are no longer valid? Are loan balances changing as expected? Do large swings from one month to the next match what actually happened in the business? Are there duplicate transactions, unfamiliar vendors, or expenses sitting in the wrong category?

The most useful question is not simply, “Did this clear the bank?” It is, “Does this make sense within the larger financial story of the business?”

Good bookkeeping is not about making reports look tidy. It is about producing records that accurately reflect what happened. When the numbers and reality disagree, resist the urge to force them to match. Follow the trail. Your books should do more than balance. They should give you information you can trust when it is time to make a decision.
