Every year, August seems to sneak up on us. One minute we’re planning vacations and backyard barbecues, and the next we’re wondering how the holidays are just around the corner.
In the event world, though, this is exactly when planning for the busiest season begins.
If you’re thinking about hosting a fall fundraiser, company event, school function, wedding, family celebration, or holiday party, now is the time to start making plans. The best venues, entertainment, rental equipment, photographers, and caterers tend to book well in advance, especially here on Long Island. Waiting until October to plan a December event often means you’re choosing from what’s left instead of what you really want.
One of the first questions I ask every client is, “What do you want your guests to remember?” It’s usually not the centerpieces or the linens. It’s how the event made them feel. Were they comfortable? Did they have fun? Did they leave talking about the experience?
When you start planning with the guest experience in mind, every decision becomes easier. Lighting creates the mood. Music sets the energy. The layout encourages conversation. Even something as simple as having enough seating or a smooth flow from one part of the event to the next can make a huge difference.
I also remind clients that you don’t need the biggest budget to host an incredible event. A few well-planned details almost always have a greater impact than trying to do everything. Focus on quality over quantity and invest in the things your guests will actually notice.
If you’re planning an outdoor event this fall, don’t forget to think ahead about the weather. Long Island gives us some beautiful autumn days, but it’s always smart to have a backup plan. A tent, an indoor option, or even a simple contingency plan can save a lot of stress if Mother Nature has other ideas.

Whether you’re celebrating with family, thanking your employees, or hosting clients, the holiday season fills up quickly. Planning now gives you the best selection, more flexibility, and one less thing to worry about as the end of the year gets busy.
The best events aren’t the ones with the biggest budgets. They’re the ones where people feel welcomed, connected, and excited to be there. A little planning today goes a long way toward creating those moments tomorrow.
