Before You Book a Venue: 10 Questions You Should Always Ask

Planning a wedding, shower, anniversary, fundraiser, or other special event is exciting but comparing venues can quickly become overwhelming. A beautiful room is important, but choosing the right venue involves much more than what you see during a tour.

After years in the event industry, I’ve learned that asking the right questions before signing a contract can prevent unexpected costs and unnecessary stress later.

Here are 10 questions I recommend asking any venue you are considering:

1. What is actually included in the price?

Ask about tables, chairs, linens, china, flatware, staffing, setup and cleanup. What is standard, and what is considered an upgrade?

2. Is there a room rental fee, food-and-beverage minimum, or both?

These terms are not interchangeable. Make sure you understand exactly how the venue structures its pricing.

3. When can we get into the venue?

Your reception may begin at 5:00 p.m., but when can you, your florist, decorator or other vendors actually begin setting up?

4. What happens if our guest count changes?

Ask when your final count is due and what happens if someone cancels or is added after that deadline.

5. When do we have to make our final decisions?

Menu selections, seating arrangements, dietary restrictions and other details often have deadlines for a reason. The kitchen and event staff need time to prepare properly.

6. How does the bar package work?

Ask what brands and beverages are included, how guests under 21 are handled, how long the bar is open and whether there are additional fees.

7. What happens if the event runs late?

Don’t assume you can simply add another hour that evening. Ask about overtime policies, additional costs and whether extensions need to be arranged in advance.

8. What can we bring in ourselves?

Every venue has different policies regarding outside food, desserts, décor, candles, DJs and other vendors.

9. What’s the backup plan for bad weather?

Western New York weather can change quickly. If any portion of your event is outdoors, know exactly what Plan B looks like not just that one exists.

10. What isn’t included in the price we’re discussing today?

This may be the most important question. Ask about service charges, sales tax, gratuities, vendor fees, upgrades and other potential expenses so you can compare venues fairly.

Choosing a venue isn’t simply about finding a beautiful space. You’re choosing the team and location responsible for bringing one of your important days to life.

Ask questions. Read your contract. Understand what you’re paying for. A good event professional won’t be bothered by your questions; they’ll want you to know exactly what to expect.
